Job Overview

The Supervisor of Project Coordinators oversees a team of project coordinators, ensuring effective coordination of assigned projects with a strong focus on document control and support for project management activities. This role reports to the Director of Project Management and is responsible for leading the team to establish project scopes, manage documentation processes, allocate resources, and ensure project deliverables are met within budget and on schedule, while maintaining customer satisfaction. Document control remains a critical process, involving the supervision of creation, distribution, storage, and reporting of documents to ensure accuracy, consistency, and compliance with standards and regulations.

Responsibilities

  • Oversees and directs the project coordinator team, providing guidance on document control, scheduling, and resource allocation
  • Ensures documentation submittals meet project-specific formatting requirements and approves final submissions
  • Supervises file validation and document control processes, ensuring accuracy and compliance
  • Coordinates with project managers to align documentation with project schedules, budgets, and risk mitigation plans
  • Manages the receipt and distribution of incoming customer documentation, assigning revisions to team members as needed
  • Ensures all corporate and project documents are error-free, submitted on time, and stored securely
  • Leads participation in client/contractor meetings, resolving documentation and project challenges with the team
  • Implements and monitors project documentation workflows, conducting regular audits to identify and address issues
  • Allocates resources effectively, including personnel, equipment, and materials, adjusting as needed to meet project demands
  • Supports project teams, stakeholders, and external vendors, facilitating communication
  • Organizes and leads project meetings, preparing agendas and distributing notes to ensure alignment
  • Enforces Nikkiso Cryo methodology and project standards across the team
  • Provides training and development to project coordinators on document control/project coordination and PM support best practices
  • Other duties as assigned

 

Qualifications

  • Minimum of 5 years’ relevant experience in project coordination or document control, with at least 2 years in a supervisory role
  • Bachelor’s degree in business, project management, or a related field preferred
  • Equivalent combination of education, training, and experience may be accepted
  • Advanced proficiency in Microsoft Excel, Word, PowerPoint, and preferably MS Project

 

Knowledge and Critical Skills/Expertise:

  • Strong leadership and team management skills to motivate and guide staff
  • Exceptional attention to detail, strategic thinking, and problem-solving abilities
  • Solution-oriented approach to overcoming challenges
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Access, etc.) and project management tools
  • Expertise in data management and document control systems
  • Customer relations management to support client-facing documentation needs
  • Ability to establish and maintain effective working relationships with internal and external stakeholders
  • Negotiation and conflict resolution skills

Work Environmental and Physical Demands:

  • Duties may require standing, walking, sitting, reaching, climbing, balancing, stooping, kneeling, talking, hearing, and using hands to handle objects or controls
  • Overtime may be necessary based on workload, including weekdays, weekends, nights, and/or holidays
  • Primarily office-based, with occasional travel to client offices, production facilities, or job sites; conditions vary by location
  • Lifting up to 30 lbs. may be required
  • A valid driver’s license is required for business travel, including between Nikkiso Cryo facilities

 

Environmental Safety Requirements:

  • New Employee Safety Training, including Safety Awareness, is mandatory for all new hires
  • Job-specific safety training will be provided and tracked by the EHS Director as determined by the supervisor
  • Employees must wear Nikkiso-provided PPE when required, with non-compliance subject to disciplinary action, up to and including termination
  • In compliance with the Americans with Disabilities Act of 1990, the employer will provide reasonable accommodations to meet the work environmental and physical demands listed above.

Employees are required to wear Nikkiso provided PPE as/when needed. PPEs include, safety shoes, safety glasses, face shields, FR clothing, cryogenic gloves, cryogenic apron, cut resistant gloves, safety gloves, hearing protection, hard hats & dust masks. Failure to comply with Nikkiso Cryo safety requirements will result in disciplinary actions, up to and including termination.
